GENERAL FUNCTION

This position provides support for the brand for administrative and marketing functions by performing a wide variety of duties which may require independent review, calculation and analysis of information.

Responsibilities

  • Executes a significant level of business communications, via Microsoft Outlook, PowerPoint and Excel.
  • Answers telephone, gives information to callers or routes call to appropriate official and places outgoing calls.
  • Maintains confidentiality in performing duties for the brand.
  • Transcribes dictation using computer; composes and types routine correspondence; files correspondence and other records.
  • Communicates with high-level personnel within and outside the organization, both domestically and internationally.
  • Compiles, types and distributes statistical reports.
  • Drafts and prepares presentations materials using PowerPoint.
  • Schedules appointments for employer; arranges travel schedule and reservations; completes expense reports and coordinates meetings.
  • Sorts and routes incoming mail.
  • Makes copies of correspondence or other printed matter; prepares outgoing mail.
  • Assist with marketing projects including the coordination of sales conferences.
  • Assist with photo shoot coordination when needed.
  • Organize the brand archive files and implement process improvements to existing filing system.
  • Assist the Brand Marketing Manager in brand PR global effort.
  • Performs duties consistent with the company’s AAP/EEO goals and policies.
  • Performs other duties as required/assigned by manager.

Qualifications

• 5+ years secretarial/clerical experience or equivalent skills and abilities.
• Keyboarding skills a minimum of 65 wpm.
• Proficiency in Microsoft Word, Excel and PowerPoint.
• Excellent oral and written communication skills.
• Strong attention to detail and organization.
• Ability to perform job functions in a competent, professional and customer oriented confidential manner.
• Ability to handle multiple tasks with little or no supervision.
• Proven organizational and time management skills to prioritize assignments, manage multiple projects simultaneously, under deadline pressures and with fluctuating priorities.
